How to Choose Funeral Management Software: A Director's Checklist

Selecting funeral management software is a decision that affects every member of your team and every family you serve. The right platform becomes invisible — it just works. The wrong one creates friction at the worst possible moments. Use this checklist to evaluate vendors objectively and choose software that truly serves your practice.

1. Define your workflows before evaluating demos
Map your current process: intake → documentation → scheduling → service → compliance → billing. Note every handoff, every duplicate entry, and every paper form. This becomes your evaluation scorecard.
2. Verify compliance coverage for your jurisdiction
Not all platforms support every country's burial and cremation regulations. Ask for specific examples of compliance checks in your region. If the vendor cannot show you, they do not truly support you.
3. Test data import with your actual records
The biggest implementation failure is discovering your historical data cannot be migrated cleanly. Request a test import before signing. Verify that names, dates, locations, and relationships transfer accurately.
4. Evaluate the mobile experience
Funeral directors work on the go. The platform must be fully functional on tablets and smartphones — not just a scaled-down desktop view. Test on the devices your team actually uses.
5. Check integration depth, not just count
A vendor claiming "40+ integrations" means little if the connections are shallow. Ask how data flows between systems, whether updates are real-time or batched, and whether custom integrations are supported.
6. Assess AI capabilities realistically
AI should solve specific problems: predictive compliance, scheduling optimisation, sentiment analysis. Avoid vendors selling "AI" as a vague feature. Ask for concrete examples of AI-driven outcomes.
7. Review the vendor's security posture
SOC 2 Type II, penetration testing reports, GDPR compliance documentation, and data residency options are non-negotiable for a platform handling sensitive family data.
8. Calculate 3-year total cost of ownership
Include software, implementation, training, support, integrations, and hardware. A lower monthly fee often becomes more expensive over time when hidden costs are included.
9. Request references from similar-sized operators
A platform that works for a 50-location enterprise may be overwhelming for a single-location family business. Speak to operators of your scale who have used the software for at least one year.
10. Evaluate the exit strategy
What happens if you need to switch platforms in 3 years? Can you export your data? In what formats? Are there termination fees? A vendor confident in their product has no reason to lock you in.
